strategy for OUC to actively manage corporate records; all digital
information storage, documents and the content therein, paper files,
diverse media types (i.e, 3D CAD, film, analog audio tapes, digital audio
& video), EDI data streams, log files, and other historical records.
Managed, authored, and involved all principal corporate stakeholders to

object metadata standard. Established the minimum common set of
properties, data types, formats, and rules for any object created temporarily
and/or stored by any computer-based process within or without the OUC
corporate network. Developed and published Version1.0 of the OUC
corporate event monitoring policy; establishing the centralized aggregation
of all logged events and documenting corrective actions (i.e.,
rules). Developed and published Version1.0 of the OUC risk register
used to classify, track, and evaluate risks at the enterprise level.
Authored and distributed RFP to select a platform to provide
enterprise-wide information management including the principal components
of imaging and process automation, records management, MS Office
integration, 3rd party systems integration (i.e., primarily ERP,
HR, CRM, GIS, and CAD systems integration), encryption, records disposition
via digital shredding, and ability to deploy custom interfaces for
different user populations within the enterprise. Managed, in cooperation
with OUC Procurement, and facilitated the RFP process to select an
information and content management platform to provide the required
enterprise-wide functionality (result, per evaluation criteria of the RFP
process: EMC Documentum selected over IBM Filenet, OpenText ECM, Oracle
UCM, Autonomy TeamSite, Hyland OnBase and Alfresco).
Installed, maintained, and administered all Documentum v6.5, Captiva v6.1,
and IIG Brava v6.1 servers (i.e., DEV, UAT, STG, TST, TRN, and PRD on MS
Windows server OS hosts). Configured multiple Documentum administrator
permission sets to partition administrative duties and access rights (i.e.,
by application, by user population, by subsets of functionality - help desk
support personnel, records custodians, etc.). Installed, periodically,
vendor provided patches, service packs and upgrades up to Documentum
(currently on version v6.7sp2 and testing a plan to upgrade Webtop to D7),
Captiva (currently on v6.5 and testing upgrade to D7), and Brava (currently
on v6.2). Built and deployed a custom Webtop/WDK application, extending the
capabilities provided by the 3rd party vendor Trinity Technologies’ LEGALise add-on for
Documentum Webtop. Built Java DFC components deployed to the application
servers to override standard Webtop/WDK methods like ‘Save’ and added
custom menu items that call components installed on users’ desktops (for
example, to Bates Stamp a collection of PDF renditions and merge all the
independent files into one large file of consecutively numbered pages with
each page identified as a separate piece of evidence; ouclegal is in
production since May, 2010). End users leverage the Documentum
Application Connector (DAC) and MyDocumentum for Outlook (DCO) to extend
Documentum functionality to MS Office applications. Customizations to
Webtop/WDK include providing full application administration to Power Users
(reducing IT involvement in nearly all application support);
context-sensitive smart client capabilities to automate metadata population
onto many different types of objects; automatic assignment of State of
Florida General Schedule retention policies to objects based on the value
of a property; end user configurable legal discovery of network shares and
individual users’ desktop computers using federated search services; legal
discovery exhibit tagging and collection assembly to prepare records for
Bates Stamping; scanning paper to a digital image, text recognition,
barcode generation, and automated metadata pre-population and object type
classification; customization of the touchpad interface on Konica-Minolta
multi-function devices (MFDs) to provide data entry and document
classification to end users, scans sent directly from the MFDs to
Documentum, passing the data entered at the MFD as metadata into
Documentum; monitoring of expiration and/or calculating lead time based on
values in date fields for individual work items to enable contracts
management.
Built and deployed custom D6.7sp1 XCP v1.4 Taskspace application to
automate a policy change acknowledgement process, leveraging custom Java
DFC components deployed to the application server (Taskspace customization)
and process engine server (workflow step, activity transition
customization). An individual workflow was delivered to every
employee and to every contractor. Users accessed their individual workflow
via a hyperlink in the body of an email (simultaneous distribution within
the enterprise of 1200 unique workflows). A manual workflow step that
each user was required to complete, required user authentication and
inserted each user’s personal digital signature into the PDF document distributed
for review and approval (Policy Change Acknowledgement, this
application and work flow is in production since November, 2012).
Installed and configured Documentum D7 software onto MS Windows servers
(i.e., SANDBOX and DEV systems). Built and deployed several custom D7 XCP
v2 custom runtime Proof-of-Concept applications. Currently testing and
documenting the carry-over functionality, changed functionality, and
missing functionality between D6.7sp2 and D7. Investigating the new
functionality provided by D7; with special attention to the DFS API, new
asynchronous default behavior for workflow activities, and RESTful
services. Currently performing a Proof-of-Concept upgrade of the D6.7sp2
Webtop application to D7 and simultaneously performing a Gap Analysis /
Migration Plan for moving the Webtop v6.7sp2 application to D7 XCP v2.
Authored custom methods, in Java, and scheduled jobs to deliver results
periodically. Jobs provided alerts for contract managers to revisit
date-sensitive terms like Insurance Certificate renewals, extension
deadlines, re-bid dates, and expiration dates. Authored custom
actions; TBOs, SBOs, and web services to provide custom functionality for
Webtop (WDK), Taskspace, and to enable dynamic interfaces at individual
steps in workflow (using Process Builder and Forms
Designer).
Completed a Human Resources (HRIS) Needs Analysis, summary Business Case,
Gap and Impact Analyses, elicited functional and non-functional requirements,
and contracted resources to staff the project team (including physical
architectural specifications and procurement of hardware). A new Documentum
custom application is being developed using D7 XCP2 for Human Resources,
scheduled for a first Scrum Agile release during Q1 of next year. A
future release, included in the product road map, will include
enterprise-wide library services with automatic retention policy assignment
to a common set of object types. Requirements for a future Supply Chain
Management, Procurement, and Accounts Payable custom application are being
gathered by SMEs, Business Analysts, and other enterprise application
specialists (i.e., security, risk, information governance, auditing,
operational reporting, business agility and competitiveness, enterprise
architecture, etc.). Management of all projects is a blend of Scrum (user
interface rapid development and project management best practices) and
Kanban (work item resource provisioning and backlog management best
practices) agile processes. This new D7 XCP2 application will include DFS
SOAP and REST web services to ondemand populate properties in
Documentum from external sources (i.e., JDEdwards E1, PeopleSoft CRM, ESRI
ArcGIS, etc.).
Several collaborative continuous improvement projects are in progress, my
participation includes (1) developing enterprise model views in ArchiMate
(i.e., TOGAFv9.1, ArchiMate v2) to support these initiatives, (2) gathering
domain-specific vocabularies to build a corporate taxonomy (i.e., xml
schema, Relax NG), (3) identifying boundaries of domains while documenting
the differences and similarities between them to write rules (i.e.,
RuleML), and (4) begin to describe the corporate knowledge with an ontology
(i.e., RDF/OWL2). Another collaborative initiative is the publishing
of a corporate decision tree to inform business units on criteria to
authorize hybrid and/or “public” cloud application deployment (i.e., IAAS,
PAAS, SAAS, managing shadow network applications already in “the wild”).
The IT infrastructure team, including me, is building two Proof-of-Concept
cloud applications, one is a COTS software provisioning trial of complete
hypervisor application deployments to the Microsoft Cloud @ Azure and the
other is a self-education exercise to learn Hadoop (i.e., HDFS),
Map/Reduce, and NoSQL (i.e., Lucene, Katta, Solr, HBase) on the EMC VMware
CloudFoundry @ Amazon AWS/EC2. Started; new Proof-of-Concept cloud
application with Apache Hadoop 1.0.1(RC1), Pivotal HD 1.0, HAWQ (SQL for Hadoop)
and Apache Solr indexing for search.
